by librarians using the reQuest Interlibrary Loan system. More questions will

What should I do if I receive a duplicate
request?

What should I do if I receive a duplicate
request?
If you are approving requests made by a patron and discover a
duplicate, you should notify the patron to determine how many copies of the
item they need. Also, you can cancel the duplicate request and the patron will
be able to see your cancellation if they track their own ILL requests.
If you are downloading pending requests made by other libraries
and discover a duplicate, you should notify the lending library to determine
how many copies of the item they need. You can put a note in the History Notes
field letting the borrowing library know that it is a duplicate.
How is a date due calculated?
The date due for loans is 35 days from the date the borrowing
library updates the request to "Received" status. The date due is calculated
according to the lending library's "Days to Return" category. This category
should be set to 35 days for all participating reQuest libraries. This is a
systemwide standard established by reQuest.
How is the new date due calculated when a
renewal is accepted?
The renewal date due is 35 days from the date the renewal is
accepted by the lending library. The system looks at the Participant's "Days to
Return" and calculates a renewal date due. This function is processed at
midnight and the new due date is available the morning after the renewal is
granted. A borrowing library can note any changes to the renewal date due in
the History Notes field.
Where can I get information on the
status categories?
Information on the various status categories is in your training packages. If
your training material is not available, there are extensive help screens in
reQuest that provide detailed information about each category and ILL status.
The ILL-specific help screens are available on the "Interlibrary Loan Login"
page and from anywhere in the ILL system after you are logged in.
How long are completed records stored
in reQuest?
Completed, cancelled, and unfilled records are automatically
deleted from the system after 30 days. These records can be deleted manually
from the full record display. There are no limits to the time "Not Received"
records are maintained in the system.
Is there any easy way of getting an
unfilled book request to go out again after it's gone to its five libraries
without being filled?
One of the options from the pull-down menu of an unfilled request is "Approve -
Send". If you choose this option, you can re-send the request by adding another
five libraries in the lender list.
Is there any easy way of getting an expired
book request to go out again?
As with an unfilled request, one of the options from the pull-down menu of an
expired request is "Approve - Send". If you choose this option, you can re-send
the request by changing the "need by" date and by supplying another five
libraries from the lender list.
What does "current deadline" mean?
The Current Deadline is the date by which an action should be
taken on a request. The date in this field changes during the course of the
request. If the request is in "Pending" or "In Process" status, it is the date
the lending library must respond to the request before it goes to the next
library in the lender list. When the item is in "Shipped" status, the current
deadline date is the "days to receive" which is ten days from date the item was
updated to "Shipped". When the request is in "Received" status, it is the date
due, which is 35 days from the date the item was updated to "Received".
Can we alter an "unfilled" request if
the material actually is received and sent back?
If no library was able to ship the material and your patron
still needs the item, you can re-send the request to the lending library
putting a note in the History Notes saying that you have received the item and
that they should update the item to shipped. Once they put it in "Shipped"
status, you would then update the request to received and to returned when the
item is sent back to the lending library. You may want to contact the lending
library to let them know about these special conditions.
What should I do if a request is in
"not received" status and my patron still needs the material?
You should contact the lending library. A status of "not
received" indicates that the lending library has shipped the item, but that the
borrowing library has not received it. If your patron still needs the item, you
should call, fax, or e-mail the contact person at the lending library to verify
that the item has been shipped.
